Document Exchange
The five CEAVEO products are deliberately kept apart — each app sees only its own content. Document Exchange is the controlled way to release a file from one app to another: by reference, with a documented purpose, revocable at any time and fully logged.
Separation is the default — sharing is the deliberate exception.
LEGALinhouse, PUBLISHinhouse, RECEPTIONinhouse, VOICEinhouse and ACADEMYinhouse share one platform but keep their content deliberately siloed. What sits in a legal-department case does not surface in marketing on its own; what marketing drafts does not land in correspondence unasked. This separation protects confidential content and keeps responsibility clear.
Sometimes the opposite is exactly what you want: a result from one app should be reused in another. Document Exchange makes that possible — but only deliberately, named and traceable, never as a silent opening of the silos.
Four steps — from deliberate release to targeted use.
You release a file to chosen target apps and add a purpose note. It is shared by reference — no copy is made, the original stays in its app.
In the target app the document appears as an available document — visible, but with no effect at all. It grounds nothing while no one has accepted it.
A user accepts the document and assigns it to a specific object — a case, a persona, an article or a campaign. Only this deliberate assignment activates it.
The document then serves as a basis only for that one object — never app-wide. No app-wide knowledge, no spill-over into other cases or campaigns.
Reversible. A release can be withdrawn, an assignment undone — and every step is logged.
A.I. Kannmann prepares — the human decides.
Once a document is assigned to an object, A.I. Kannmann — the processing persona behind every result in CEAVEO — can draw on it when working on exactly that object. Ask the target app for a draft, and the shared content flows in as a verified basis, shown as "released from another app".
The boundary: A.I. Kannmann prepares — the decision and the responsibility stay with the human. And the basis only takes effect on the object it was assigned to, nothing beyond it.
From a cleared legal basis to sourced campaign copy.
The legal department has reviewed and cleared a clause or a set of claims in LEGALinhouse. Through Document Exchange it makes them available to VOICEinhouse. There they are assigned to a specific campaign — and provide the sourced basis for the campaign copy. Marketing no longer writes on a hunch, but on a cleared, named source. It takes effect only for that campaign; every other one stays untouched.
Built within limits — not as an open door.
Document Exchange is off by default and switched on by your organisation's admin once your data protection impact assessment (DPIA) is in place — a conscious, documented decision, privacy by design.
External collaborators with restricted access cannot share anything — sharing stays an internal responsibility.
Documents classified confidential or restricted cannot be shared broadly — sharing respects the confidentiality level.
Personal data from a legal context is passed on pseudonymized only — real names stay in LEGALinhouse.
Exchange happens only within the same tenant — nothing leaves your organisation.
